*Job Responsibilities –*
Client Service Responsibilities:
* Maintain CRM and site data for all clients and 401k plans
* Assist with new client onboarding – 401(k) and retail
* Assist with preparing investment reviews: Administrative and Participant Education
* Assist with preparing client meeting reviews (not including financial plan)
* Assist with daily transactions, including money movement, account maintenance, electronic filing, document uploading, and other projects, as needed
* Assist with drafting Investment paperwork
* Assist with annual insurance review
* Order Illustrations for Annuity, Life, Long Term Care, Disability, etc.
Administrative Responsibilities:
* Assist Advisor and Director of Client Services & Operations with day-to-day projects and tasks
* Create and maintain most reports for weekly office meetings
* Handle incoming phone calls from clients, vendors, or prospects
* Maintain company and Advisor’s calendar – schedule/coordinate any appointments as necessary
* Daily phone call or emails to confirm client scheduled meetings
* Regularly review broker-dealer news items, technology updates/ reports, and communication pertinent information back to Advisor and other office staff
* Research products/programs for Advisor
* Monitor client meeting frequency needs through CRM and create meeting folders
* Plan birthday and holiday gifts for clients
Operational Responsibilities:
* Quarterly updating of all Manual Assets
* Keep track of and monitor licensed staff’s continuing education, licenses, and state registrations
* Assist in the annual coordination of Tax files to CPAs for specific client-level households
* Maintain 401k informational spreadsheets and datasheets
* Ordering and maintaining marketing materials, investment prospectus, and investment fact sheet files
*Requirements –*
* 5+ years of experience supporting a wealth management office in a client service/administrative capacity
* Strong knowledge of 401(k) plans, Annuities, Retirement, Life Insurance and Financial Planning products
* Excellent computer skills; fluency in Microsoft Office, particularly Excel; previous experience with CRM systems and Docusign.
Knowledge of Money Guide Pro, Right Capital, or eMoney would be a plus.
* Must present self as a polished professional and have excellent verbal and written communication skills.
