Cal Poly in San Luis Obispo is looking for a new Program Coordinator – Academic Advisor committed to working with students from lower-income backgrounds and students with disabilities.
This grant-funded position focuses on advising, mentoring, and helping students navigate their college experience.

Under the general direction and supervision of the TRIO Achiever Director, the Program Coordinator/Academic Advisor is responsible for maintaining direct contact with program participants; assisting the Program Director with developing, planning and implementing program activities and workshops including teaching study skills development and orientation courses; assisting the director with data collection and participate on the grant writing team; coordinating and supervising the tutoring and peer mentoring program; providing academic advising assistance to program participants including course scheduling assistance on an individual and/or group basis; identifying services for program participants; planning, promoting and attending graduate school visits; maintaining program participants’ records including monitoring and documenting student contacts; liaison for activities and functions with other campus and department resources; abiding by U.
S.
Department of Education Administrative Regulations (EDGAR); creating quarterly program performance reports for the Program Director; assisting the Program Director with accomplishing the TRIO Achiever goals and objectives as outlined in the grant application; serving on university committees and task forces as assigned; and working occasional evenings and weekends.
Minimum Qualifications Graduation from an accredited four-year university Minimum 1 year of progressively responsible student services experience, or similar experience in programs in similar scope to the TRIO Achiever program Experience with academic and/or personal counseling/advising specially with multi-cultural, low-income, disabled, and first-generation college-bound and/or college students required Experience and sensitivity with multi-cultural, low-income, disabled, first-generation college, and/or other non-traditional or underserved populations required Demonstrated experience with program planning, implementation and management required Demonstrated ability to use analytical skills for designing learning assessments, interpreting results, and making recommendations for future planning Knowledge of database applications with the ability to analyze data, develop queries and to extract data Experience working with TRIO programs desirable Must be able to attend workshops and/or seminars for professional growth as required Occasional extended working weekdays and weekends required Ability to perform complex, highly responsible and confidential duties Excellent computer skills including Microsoft Office Suite, campus systems, FileMaker database, and Blumen Compansol software Ability to prioritize, plan, organize, and meet deadlines Ability to lead others in managing tasks; train and evaluate the performance of assigned personnel Ability to establish and maintain cooperative and effective working relationship with others Proven experience in training, mentoring and supervising staff or students.
Excellent verbal and written skills and the ability to interface with all levels of staff, Board of Directors, university community, including students, faculty and staff, and the public Interpersonal skills using tact, patience, and courtesy Ability to maintain regular and reliable attendance Possession of a valid California Driver’s License and satisfactory driving record.
A background check is required for all regular benefited positions The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment Preferred Qualifications Physical Demands Hearing and speaking to exchange information in person or on the telephone Dexterity of hands, fingers, and wrist to operate a computer keyboard and calculator Seeing to read a variety of materials Sitting or standing for extended period of time Commuting on an as needed basis to outside meetings and training locations Typical Essential Functions In collaboration with program participants, provide comprehensive academic advising from time of admission through graduation in identifying, pursuing and realizing appropriate educational and/or vocational goals Provide academic advising and guidance in individual and group settings which may include personal advising, course scheduling, curriculum advisement, career guidance, academic skills assessment and recommendations, identification of barriers to learning and resolution strategies, campus related issues, etc.
Maintain direct contact with program participants to resolve or attempt to resolve complex issues of academic probation, academic dismissal, academic withdrawal and academic re-entry or re-admission Make several contacts each quarter with program participants through telephone calls, grade letters, individual student contacts, group contacts, email and/or planned activities Ensure proper service delivery to TRIO Achiever participants through liaison work with Student Academic Services advisors and other campus departments Maintain up-to-date knowledge of curriculum in assigned advising population Maintain up-to-date knowledge of student issues regarding underrepresentation by ethnicity, income, first-generation college and/or disability.
Maintain up-to-date knowledge of financial aid requirements Maintain current and accurate records on students served, referrals completed, issues confronted, etc.
Document student contacts and personal needs assessments and outcomes Update and maintain TRIO Achiever program participant database for long-term tracking Create method for, update and maintain data collection including assessment and statistical analysis of program services such as tutoring and alumni tracking Under the direction and supervision of the Program Director plan, promote and participate in graduate school visits and/or events that promote graduate school opportunities Under the direction and supervision of the Program Director plan, promote and facilitate TRIO Achiever program related workshops and seminars Under the direction and supervision of the Program Director, coordinate, staff, supervise and maintain the TRIO Achiever tutoring program.
Identify, recruit and train qualified peer tutors.
Conduct in-service training for student assistants/tutors/mentors Under the direction and supervision of the Program Director, coordinate staff and supervise the peer mentoring program.
Plan, promote and participate in peer mentoring program activities Identify and recruit participants that may be eligible for the TRIO Achiever program Work with Program Director to ensure program compliance with U.
S.
Department of Education regulations, policies, procedures and guidelines Work with Program Director to build and lead First Year Seminar (University 100), programming within the Living Learning Community, and any related summer programming/summer bridge Assist in preparation of grant-funding proposals and annual report to Department of Education.
Responsibilities to include but not be limited to data collection and participation on the grant writing team Assist with coordination of daily and ongoing activities to comply with program objectives Participate in and represent the TRIO Achiever program in recruitment activities such as: student panels and/or tours, Open House presentations, summer orientation program and Week of Welcome Write quarterly program activity reports for Program Director Consult with and make recommendations to the Program Director regarding programming Under the direction and supervision of the Program Director, plan, develop and lead planned program events and activities Prepare and make verbal and written presentations Participate in assigned university committees and task forces and network with other campus offices and departments regarding identifying student needs, developing retention strategies, providing input, recommending support services and delivering of services to program participants.
Participate in required program and campus activities Collaborate with members of Student Academic Services academic core to determine policy regarding retention efforts for underrepresented students Participate in affiliated professional organizations Perform other duties assigned Supervisory Responsibilities Directly supervise assigned student staff.
