**Job Overview:**
Peek Painting, a prominent residential and commercial painting company, is seeking a detail-oriented and organized Administrative Assistant to support the day-to-day operations of the business.
This role encompasses a diverse range of responsibilities, including customer service, scheduling, HR duties, and proficiency in QuickBooks.
**Key Responsibilities:**
1.
**Customer Service:**
- Serve as the first point of contact for customers, addressing inquiries, providing information, and ensuring a positive customer experience.
- Respond to emails, phone calls, and other communications promptly and professionally.
- Coordinate with the sales and project management teams to ensure customer satisfaction.
2.
**Scheduling:**
- Manage appointment schedules for painting projects, coordinating with clients and field teams.
- Communicate project timelines and updates to customers.
- Ensure efficient use of resources and optimize scheduling for maximum productivity.
3.
**Human Resources Duties:**
- Assist with the recruitment and onboarding process for new hires.
- Maintain employee records, including time and attendance, and ensure compliance with company policies.
- Support HR functions such as employee benefits administration and performance evaluations.
4.
**QuickBooks:**
- Proficiently use QuickBooks to manage invoicing, accounts payable, and accounts receivable.
- Record financial transactions accurately and reconcile accounts.
- Generate financial reports as needed for management.
5.
**General Administrative Support:**
- Organize and maintain filing systems, both electronic and physical.
- Prepare and edit documents, reports, and correspondence.
- Order office supplies and maintain inventory.
**Qualifications:**
- Proven experience as an administrative assistant or in a similar role.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Familiarity with customer service principles and practices.
- Proficiency in QuickBooks, Google Suite and MS Office Suite.
- Basic understanding of HR functions.
**Education and Experience:**
- High school diploma or equivalent; additional education in business administration or related field is a plus.
- Minimum of 2 years of administrative experience, preferably in a construction or painting industry.
