Job Summary
Under supervision of the CENG Assistant Dean of Development and External Relations, this position is responsible for financial reporting, gift processing, calendaring, travel, procurement, events, and administrative support for the CENG Advancement and Marketing Teams.
The incumbent provides excellent customer service within the Dean's Office to assist donors, visitors, students, and faculty.
The incumbent works closely with all college staff to schedule and coordinate meetings and events and is responsible for reception in close coordination with other dean's office administrative staff.
This position may supervise or direct work for student assistants and assist with special projects for the CENG Advancement, Dean's Office leadership, and Marketing and Communications teams.
Essential Job Functions Administrative support for Assistant Dean for Development.
Calendaring Travel Procurement Special Projects as needed.
Gather narrative and financial information for reports.
Events Coordinate meals, location, appropriate reservations and any related documentation needed for approvals such as hospitality form and alcohol approval.
Coordinate with other Dean's Office staff to support Dean's Office events including internal and external outreach and marketing.
Office supplies - ordering, inventory Procurement card and related finance reconciliations monthly.
Gift Processing Receive gifts and process timely and appropriately per central Development Office standards.
Coordinate gift processing and acknowledgements.
Ensure timeliness of recognitions.
Financial Reporting Run reports as needed Coordinate with CENG Director of Finance on advancement budget and support budget tracking.
Marketing and Communications Update website as needed in accordance with Cal Poly and CENG marketing standards.
Order marketing materials Proof marketing materials Assist with minor design or communications work as needed.
Create and maintain letter templates.
Reception Open/Close office when needed.
Check voicemails as needed.
Answer main phone line, answer general questions, take messages and/or forward calls appropriately as needed.
Check dean's office email account and respond to general inquiries or distribute/forward appropriately Mail distribution, ensure timely and accurate distribution of mail for dean's office and CENG departments including reimbursement warrants as needed.
Maintain clean and organized front office space and supply room as needed This position is eligible for a telecommute arrangement (four days in the office, one day remote) pursuant to Cal Poly's Telecommuting and Remote Work Guidelines and the CSU policy requiring that all work be performed within the State of California.
Education and Experience High school diploma or its equivalent.
Five years of general office support or technical experience.
(Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience) Salary: Anticipated Hiring Range: $21.
