Job Summary
General office administrative functions including scheduling meetings for executive staff; screening office visitors, emails and phone calls for VPSA executive staff; taking messages and/or referring callers to University departments and/or personnel as appropriate; independently researching matters when necessary to respond to inquiries, distributing daily incoming mail, and overseeing office supply inventory.
Assist with the coordination of division employee recognition program, LiftUP, including managing the staff database, continually updating behavior bonuses and distributing rewards, preparing the monthly employee newsletter.
Assist with the coordination of division employee Onboarding and 1 Year Anniversary Program, including managing the staff database, ensuring monthly vendor payments are made, preparing and distributing welcome bags, and coordinating the quarterly Onboarding new staff luncheon.
Assist with general bookkeeping functions, including monthly reconciliation of department procurement cards.
Create and process purchase requisitions.
Complete procurement cycles, including invoicing administration.
Responsible for maintaining quarterly updates to the division staff roster and updating the division’s email alias for mass division-wide email communications, ensuring that the alias is continually kept current.
Supervise student assistant support staff, establish priorities and monitor student assistant workflow to ensure timely and accurate completion, delegating tasks as necessary, and approve monthly student staff payroll.
Education and Experience
High school diploma or its equivalent.
Four years of general office support or technical experience.
(Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)
